VM Management

The VM Management tab in Team Hub lists every deployment running under your team. From one table you can deploy a lab for a teammate, turn deployments on and off, manage guests, sort deployments into groups, and remove deployments to free a slot.

Required role: Lab Admin

Without Lab Admin the tab is greyed out. An Org Manager grants it on the Team Roster tab (see Team Permissions).

The top of Team VM Management shows your Team deployment pool, for example “3 / 5 seats in use”. Every deployment and Architect build on the team holds one seat until it’s removed, including while it’s turned off. Hover the summary to see the Seats list: which deployment holds each seat, what kind it is, and its status.

When every seat is taken, the bar turns red: a new lab has to replace one of these deployments or wait until one is removed. If your team has no pool, the summary says members’ labs use their own funding. See Billing & Usage for how slots work across the team.

Each row is one deployment. The columns are:

  • Owner: the teammate the deployment belongs to.
  • Scenario: the scenario, or its nickname with the scenario name underneath.
  • Status: for example Running, Starting, or Turned Off.
  • VMs: how many of the deployment’s VMs are running, for example “4 / 6 running”.
  • Tasks: tasks still processing on the deployment, if any.
  • Guests: a Manage guests (N) button showing how many guests the deployment has.
  • Event: the event the deployment belongs to, if any. Click it to open the event.
  • Last Accessed: when someone last used the deployment.

Click any column heading to sort by it. Use the filter box to search by owner, nickname, scenario, status, or event.

  1. Click New Deployment.
  2. Pick a scenario and click Deploy Now.
  3. In Select User, choose the teammate the lab is for. A banner reads Deploying for and their name.
  4. Work through Overview, Pre-Check, and Final Confirmation, the same as deploying your own lab.

The lab belongs to the teammate and uses one of the team’s seats. New Deployment is disabled while the team pool is full or closed; hover it to see why.

The Actions column has a button for each of these:

  • Turn on deployment / Turn off deployment: the power icon is green when running, orange while changing, and red when off.
  • Deployment guest links: create and revoke guest links for the deployment, when guest links are available to your team.
  • Revert to snapshot: revert the deployment to its first snapshot.
  • Manage guests: invite teammates into the deployment. See Invite Guests.
  • Remove deployment: delete the deployment and free its seat. You’re asked to confirm.

Click Manage guests (N) in the Guests column to see the deployment’s host and each guest, with whether they can control the host’s VMs, whether they have their own VMs, and whether they’ve accepted the invite. Click Change Guests to edit them.

To open a teammate’s VMs directly, use the dashboard. See Team VM Sharing.

Give a deployment a nickname so it’s easier to spot, for example “Alice’s retake” or “Demo for Acme”.

  1. Click the pencil (Edit nickname) next to the scenario name.
  2. Type a nickname, up to 60 characters.
  3. Press Enter or click the check mark to save. Press Escape to cancel.

The nickname shows in the Scenario column with the scenario name underneath. Save an empty nickname to remove it.

Groups let you sort the table by class, cohort, or anything else. Your team’s Lab Admins all see the same groups.

Use the two view buttons next to the filter box to switch between Grouped view (folder icon) and Regular view (list icon). Your choice, and which groups you’ve collapsed, are remembered in this browser.

To create a group:

  1. Click New group.
  2. Enter a Group name (up to 40 characters, and different from your other groups).
  3. Pick a color and an icon.
  4. Click Save group.

To move a deployment into a group, drag it by its handle onto the group in grouped view, or click the folder button in its Actions column and pick a group. Deployments not in a group sit under Ungrouped.

Click a group’s heading to collapse or expand it. Drag a group’s handle to change the order, or open its settings menu for Rename, Change appearance, Move up, Move down, and Delete group. Deleting a group moves its deployments to Ungrouped; it doesn’t remove any deployment.

If your team runs Model Testing, a Model eval copies card shows your eval copies: how many are warm and ready, warming, in use, and recycling, and how many of the team’s slots they hold. Click Model Testing warm pool to manage them.
